Facilities Reservations

Priority and Scheduling

• District activities always have first priority. The district may reschedule or cancel outside reservations if they conflict with school events.
• Facility use requests must be submitted at least 14 calendar days in advance by the assigned user. Third-party submissions require prior approval.
• Reservations follow category or seasonal guidelines; Category IV groups may not reserve more than three months in advance.
• Blackout dates will be posted annually. Weekend, holiday, or off-hours use requires prior district approval.
• Field and gym time is scheduled by the athletic director and facilities director; times are strictly enforced.

Reservations and Payment

• Full payment is due at least 15 days before the event; unpaid reservations may be canceled.
• Cancellations must be made at least 48 hours in advance to receive credit or refund. No-shows may incur fees and future use restrictions.
• Long-term or special-use agreements must be separately negotiated and approved by the school board.

Supervision and Access

• No group may use a facility without a district employee present unless otherwise approved.
• An adult sponsor must be on site at all times and is responsible for supervision, damages, and compliance with rules.
• Groups must vacate the facility by the scheduled end time and stay within the approved areas.

Insurance and Liability

• All outside groups must provide proof of liability insurance ($1,000,000 minimum) naming the district as an additional insured.
• Applicants are financially responsible for any damage or loss.

Equipment, Services and Personnel

• All equipment and service requests must be included in the facility use application and may incur additional fees. Groups are responsible for any damage or loss.
• No outside equipment may be brought in without prior written approval.
• The district may require ancillary services or personnel at the applicant’s expense, including but not limited to:
  • Site Manager - A district employee may be assigned; only the superintendent can waive this requirement or fee.
  • Custodians - Number and hours determined by the facilities department; overtime requires a minimum three-hour charge.
  • Police Officers - Determined by the district police chief and superintendent; minimum of three hours.
  • Technical Personnel - Required when using district sound, lighting, or auditorium equipment; hours determined by staff.
  • Food Service Staff - Required if kitchen access is approved.
  • Clock/Scoreboard Operator - May be assigned when game clocks or scoreboards are requested.
• Auditorium use includes basic lighting, podium, public address system, and basic custodial support. Theatrical or specialized programs requiring stage lighting, sound, or effects will require a district-arranged stage crew at an additional fee. Outside stage crews may only be used under the supervision of a district employee.
• Pool use requires certified lifeguards provided by the reserving party.

Conduct and Use Restrictions

• Alcohol, tobacco, narcotics, weapons, outside food and beverages are prohibited.
• Parking is limited to designated areas; vehicles are not allowed on grass or turf.
• No doors may be propped open; ticket sales must stay within room capacity.
• Facilities and equipment may not be altered. Areas must be cleaned after use; custodial fees may apply.

Other Provisions

• Booster groups supporting school activities may use designated areas with athletic department approval.
• District administration reserves the right to deny or revoke any permit at its discretion.

• Martorelli Stadium - Turf & Grass Fields; Lights available for an additional fee
• Guadagnino Field at North Hills High School - Baseball Diamond, Multi-use; Lights available for an additional fee 
• Ross Elementary School - Turf football field
• McIntyre Elementary School Softball Field - Turf in-field
• Reis Run Soccer Complex - Multi-field grass site, can be configured to accommodate a number of youth and USA Soccer field dimensions

• North Hills Middle School: 1,160+ seats
• Ross Elementary School: 730+ seats
• North Hills High School: 480+ seats

Large Group Instruction (LGI) Room
Located at the North Hills Middle School. Can accommodate up to 150 people.

Classrooms
There are several classrooms available to reserve in each school. Classrooms may be rented in addition to the auditoriums for use as dressing rooms as needed. The classroom type and activity will determine whether custodial charges apply.
